How to Compress a PDF to 500KB for a Job Application

Why so many uploads demand 500KB
Job portals, application tracking systems, and government forms often cap uploads at 500KB or 1MB. The limit is rarely about storage cost. Smaller files upload faster on weak connections, process faster on the portal's side, and are less likely to time out halfway through a submission. That is small comfort when your resume sits at 2.4MB and the deadline is tonight.
A text-only resume exported from Word or Google Docs is usually 40KB to 150KB, comfortably under any limit. Files blow past 500KB for three common reasons: the PDF contains scanned page images instead of digital text, it embeds photos such as a headshot or portfolio samples, or it was assembled by scanning software at print quality, 300 DPI or higher, when screen quality would have been fine.
Step by step: getting under 500KB

Why scanned documents behave differently
A scanned page is a photograph of paper. Where a digital PDF stores the letter A as a font instruction measured in bytes, a scan stores tens of thousands of pixels that happen to look like an A. Compression can shrink those pixels, but there is a floor: below a certain quality the letters smear together and the document stops being readable, which defeats the purpose of submitting it.
As a rule of thumb, a clean one-page or two-page scan compresses to 500KB without drama. A ten-page scan at high resolution may not reach 500KB in readable form no matter which tool you use, ours included. In that case the honest fix is fewer pages or a better source file, not more compression passes.
If it still will not fit

Rescan at lower settings. If you control the scanner, 150 DPI in grayscale is enough for text documents and produces a fraction of the size of a 300 DPI color scan.

Split the submission. When a portal allows multiple attachments, upload the resume and supporting documents separately instead of forcing one oversized combined file under the limit.
